- PRIVACY POLICY
ClaN Entertainment inc. (hereinafter referred to as "the Company"), in view of the significant expansion of the use of personal information accompanying the progress of the digital society, establishes the "ClaN Entertainment Personal Information Protection Basic Policy" (hereinafter referred to as the "Basic Policy") as basic matters to be observed by all persons involved in the Company's business regarding the handling of personal information.
However, the handling of personal information related to operations that bear the freedom of expression and serve the public's right to know, such as coverage and broadcasting of news and information programs, shall be subject to separate internal regulations, such as the Company's coverage and broadcasting standards.
I. Establishment of a Compliance System
- With regard to the handling of personal information, the Company shall comply with the Act on the Protection of Personal Information 1 (Act No. 57 of 2003, "Personal Information Protection Act") and shall conduct its business in accordance with the Guidelines on the Act on the Protection of Personal Information prepared by the Personal Information Protection Commission, the Guidelines on the Protection of Personal Information of Broadcasting Recipients, etc., prepared by the Ministry of Internal Affairs and Communications, and the Personal Information Protection Regulations Model prepared by the Japan Commercial Broadcasters Association. To this end, the Company will build a data governance system and establish and implement a compliance system for personal information.
- The Company will audit and review the compliance system at least once a year and strive for continuous improvement. In addition to periodic audits, the Company will respond promptly if any deficiencies are found.
- The purpose of the Basic Policy is to respect the rights and interests of individuals while giving consideration to the usefulness of personal information by stipulating the basic matters to be observed by all persons involved in the Company's business when handling personal information.
II. Internal Organizational Structure for Personal Information Protection
- The Company shall appoint one director as the Chief Privacy Officer.
- Each department head shall serve as the administrator, and a person in charge shall be appointed for each operation to implement personal information protection.
- The General Affairs and Personnel Department shall be responsible for internal education and training, and handling complaints.
- Employees (including temporary and seconded employees) shall maintain a compliance system for personal information, comply with internal regulations, and promptly report any accidents or other unforeseen circumstances in accordance with these regulations.
III. Acquisition (Collection) of Personal Information
- The acquisition of personal information shall be conducted by lawful and fair means, with the purpose of use being clearly indicated to the individual in advance or at the time of acquisition.
- The purposes for which the Company collects personal information are as follows:
- (1) Regarding Customer Personal Information:
・For the production of broadcast and internet distribution programs and other various content.
・For the provision, development, and improvement of events, products, and services in the Company's business, including the delivery of newsletters and other information.
・For conducting various surveys, collecting and analyzing statistical information.
・For applications/participation/prize delivery for contests, sweepstakes, program viewing recruitment, and other events.
・For registration to various membership services, contract management, and responding to inquiries, etc.
・ For other purposes clearly indicated at the time of acquisition. - (2) Regarding Personal Information of Employees, Contractors, and Other Staff:
・For the examination and decision of acceptance or rejection of employment.
・For employment management and contract management.
・For security management of buildings, etc.

IV. Handling of Personal Information
- The acquisition, use, provision, and other handling of personal information shall be carried out within the scope of the purpose of use that has been publicly announced or clearly indicated at the time of acquisition. Except in the cases specified in each of the following items, personal information will not be disclosed or provided to third parties without the consent of the individual.
- (1) When required by law
- (2) When disclosure is necessary for the protection of the life, body, or property of the person concerned or a third party and it is difficult to obtain the consent of the person concerned
- (3) When disclosure is especially necessary for improving public health or promoting the sound growth of children, and it is difficult to obtain the consent of the person concerned
- (4) When disclosure is to cooperate with the national government, a local government, or a person or entity entrusted by either of the former two in executing affairs prescribed by laws and regulations.
- Personal information will not be used in a way that is likely to encourage or induce illegal or unjust acts.
V. Management and Storage of Personal Information
- The Company will strive to maintain personal information (limited to retained personal data under the Personal Information Protection Act; the same shall apply in "VII") accurately and up-to-date in accordance with the purpose of use.
- The Company will take necessary physical and technical measures to prevent unauthorized access to personal information, as well as loss, destruction, alteration, leakage, and other improper handling of personal information.
- When outsourcing the processing or management of personal information, the Company will select a party that is deemed to handle personal information appropriately, and will take sufficient measures such as concluding confidentiality agreements.
- The Company will strive to protect personal information by placing a person in charge of handling personal information in each department and implementing appropriate management.
VI. Disclosure, Correction, and Deletion of Personal Information
- If an individual requests disclosure of information regarding themselves, as well as records pertaining to the provision of personal information to third parties and the receipt of such provision, the Company will, after confirming the identity of the individual, disclose the relevant personal information, etc. without delay, in principle.
- Notwithstanding the provisions of the preceding paragraph, the Company may choose not to disclose all or part of the personal information pertaining to the request if it determines that any of the following items apply:
- (1) There is a risk of harming the life, body, property, or other rights and interests of the individual or a third party.
- (2) There is a risk of significantly hindering the proper implementation of the Company's business.
- (3) It would violate other laws and regulations, etc.
- If an individual requests the correction, deletion, suspension of use, or suspension of provision, etc. of personal information concerning themselves on the grounds that the personal information is not true, that it was acquired or handled or provided in violation of the Personal Information Protection Act, or that there is a risk of harming the individual's rights or legitimate interests, the Company will conduct an investigation. In this case, if the Company determines that there is a reason for the request, it will make the correction, suspension of use, etc. without delay, in principle.
- In addition to the provisions of the preceding paragraphs, exceptions to disclosure, correction, and suspension of use, etc., procedures, and other necessary matters concerning requests for various types of the Company's retained personal data shall be separately stipulated in the Company's "Guidance on Various Requests Concerning Retained Personal Data.
七. 外部送信規律に係る通知・公表について
- 当社は、お客様が当社のホームページを利用されるにあたり、当社サービスの利用状況及び広告効果等の情報を解析するため、以下の情報収集モジュールを利用しております。当該情報収集モジュールでは、お客様個人が特定される情報を含むことなくユーザー情報を収集し、収集された情報は、情報収取モジュール提供者の定めるプライバシーポリシーその他の規定に基づき管理されます。
